The short answer: for most office, data entry and back office jobs, employers expect you to enter and format data, sort and filter, use SUM, AVERAGE, COUNT and IF, and look up values with VLOOKUP or XLOOKUP. You can learn these in two to three weeks with daily practice.

Skills employers check most

SkillUsed for
Data entry and formattingClean, readable sheets
Sort and filterFinding records quickly
SUM, AVERAGE, COUNTTotals and simple reports
IFMarking pass/fail, target met or not
VLOOKUP / XLOOKUPBringing data from one sheet into another
Remove duplicatesCleaning customer or product lists
Pivot table (basic)Summaries by city, product or month

Formulas to learn first

  • =SUM(B2:B20) — adds a column
  • =AVERAGE(B2:B20) — average value
  • =COUNTA(A2:A200) — counts filled cells
  • =IF(C2>=50,"Pass","Fail") — simple condition
  • =COUNTIF(D2:D200,"Jaipur") — counts matching entries

  • =TRIM(A2) — removes extra spaces

Practice tasks

  1. Sales sheet: make columns Date, Product, Quantity, Price, Amount. Use a formula for Amount (Quantity × Price) and SUM for the total.
  2. Marks sheet: enter marks for 10 students and use IF to show Pass or Fail, then sort from highest to lowest.
  3. City count: list 30 customers with cities and use COUNTIF to count each city.
  4. Price lookup: make a price list on one sheet and use VLOOKUP to bring prices into an order sheet.
  5. Clean a list: paste a list with duplicates and extra spaces, then use Remove Duplicates and TRIM.
  6. Pivot: create a pivot table showing total sales by product.

Keyboard shortcuts that save time

  • Ctrl + C / Ctrl + V — copy and paste
  • Ctrl + Z — undo
  • Ctrl + Arrow key — jump to the end of data
  • Ctrl + Shift + L — turn filters on or off
  • Ctrl + ; — insert today's date
